Database for CRM

Prepare a contact database ready for upload to the CRM. (Must be validated, cleaned, organised and properly tagged BEFORE uploading)



At bar minimum the database should consist of following information:
  • First name
  • Last name
  • Email
  • Phone
  • Contact Status
    • Lead
    • Customer
    • Ex-Customer



But ideally also:
  • Date of birth (for Birthday campaigns)
  • Gender
  • Contact source (How did they found you)
  • Street
  • State
  • Postcode
  • Country
  • Timezone
  • Website
  • Business name



And to get isights on average lifetime customer value you'll also want to get:
  • First purchase date
  • Last purchase date
  • Total transactions
  • Total amount spent 



Contact Database (Spreadsheet)

Although not required pre-setup it is included here as it's an aspect that may take longer for the business to generate the database so it's good to start the process of preparing it. 
That way when the system is fully setup, there is less chance for delays waiting for one.
*Ideally organised and more data the better the campaigns will run
 ** Database MUST be validated, cleaned, organised and properly tagged BEFORE uploading



What to do:

  1. Get client to consolidate their contacts in to one singular spreadsheet.
  2. Validate the emails (to get rid of spam traps, hard bounces, disposable or catch-all emails)
  1. Format the spreadsheet so all fields are ready for import
  • Pay special attention to date fields, phone numbers and email addresses.
