How to Connect Your Lead Generation System to HubSpot Using Zapier

Connecting your lead generation system with HubSpot helps you save time and manage leads more easily. This step-by-step guide will show you how to connect your lead generation system to HubSpot using Zapier.

Prerequisites

Before you begin, ensure you have the following:

  1. Lead Generation Tool Account: Access to your lead generation system.

  2. HubSpot Account: A free HubSpot account is sufficient.

  3. Zapier Account: To create and manage the automation (Zap).

Step 1: Setting Up a New Zap in Zapier

  1. Log in to Zapier: Navigate to Zapier and sign in.

  2. Create a New Zap: Click on "Create Zap."

  3. Name Your Zap: For easy identification, name it something like "Leads to HubSpot Zap."

Step 2: Configuring the Trigger

  1. Choose Trigger App: Search for and select "Webhooks by Zapier."

  2. Set Trigger Event: Choose Catch Hook and click Continue.

  3. Copy the Webhook URL: Zapier will generate a webhook URL. Copy this URL for later use.

Step 3: Integrating with Your Lead Generation Tool

  1. Access Integration Settings: In your lead generation tool, go to Settings > Integration.

  2. Add a New Webhook: Select the custom webhook option.

  3. Name the Webhook: For example, "To HubSpot."

  4. Paste the Webhook URL: Insert the URL you copied from Zapier.

  5. Configure Data Fields:

    • Add fields such as Company Name, Phone Number, Website, and Email.

    • Use the plus icon (+) to add more fields if needed.

  6. Save the Integration: Confirm the setup.

Step 4: Testing the Webhook Connection

  1. Send Test Data: In your lead generation tool, use the "Test" option to send dummy data.

  2. Verify in Zapier: Go back to Zapier and click Test Trigger.

  3. Confirm Data Receipt: You should see the test data (e.g., email, phone number, company name).

Step 5: Configuring the Action in Zapier

  1. Choose Action App: Select HubSpot as the app.

  2. Set Action Event: Choose Create Contact and click Continue.

  3. Connect HubSpot Account:

    • Click Connect a New Account if not already connected.

    • Authorize Zapier to access your HubSpot account.

  4. Map Data Fields:

    • Website: Map to "Website URL."

    • Email: Map to "Contact Information - Email."

    • Phone Number: Map to "Contact Information - Phone Number."

    • Company Name: Map to "Company Name."

  5. Continue and Test: Send a test to HubSpot to ensure data is mapped correctly.

Step 6: Finalizing the Integration

  1. Skip the Test (if needed): If the test data isn’t accepted, skip and proceed.

  2. Publish the Zap: Click Publish to activate the automation.

Step 7: Sending Leads to HubSpot

  1. Select Leads: In your lead generation tool, choose the leads you want to send.

  2. Send to CRM: Click Send to CRM and select the webhook (e.g., "To HubSpot").

  3. Verify in HubSpot:

    • Go to your HubSpot dashboard.

    • Refresh your contacts list.

    • Confirm the new lead has been added successfully.
